Position Summary:                             

This position is responsible for providing administrative and clerical support to Auto Donations Operations by carrying out a variety of duties that assist management in the efficient operation of Auto Donations & Sales.

 

Essential Functions:                           

§  Assist Operations team with organizational and clerical duties, including document preparation, answering telephones, scheduling, filing, and other duties

§  Greet the public and provides excellent image and customer service

§  Maintain standard accounting processes and procedures

§  Ensure compliance with all IRS and local laws regarding transactions performed in vehicle sales and donations.

§  Enter incoming vehicles into sales database after vehicle pick-up

§  Coordinate the auto donation paperwork

§  Prepare sales forms and entering report of sale information into the Washington State Department of Licensing (DOL) website

§  Complete DOL required forms and applications, while reviewing incoming and outgoing vehicle and vessel titles

§  Receive and safeguard customer payments as needed

§  Act as liaison between auto sales manager, customers, sales staff, mechanics, lot staff and tow truck drivers, when the manager is in the field

§  Assist Manager in vendor orders and documenting financial transactions as required by manager

§  Prepare, print, and mail donor tax receipt package

 

Other Functions:                       

§  Act as Administrative Assistant to the Manager

§  Monitor office supplies

§  vehicles

Requirements

Education/Certification:                         

High school diploma/GED.

Experience:                         

§  Two (3) years clerical experience; previous title clerk experience preferred

§  One (1) year of experience in accounting A/P or A/R

§  Knowledge of IRS guidelines and related laws related to car sales and non-profit donations.

§  Training and/or direct experience in Excel, Access, and Microsoft Word preferred

§  Multiple phone line experience preferred

Skills & Abilities:                 

§  Ability to pass all applicable background checks

§  Ability to read, write, and understand English; ability to understand and follow directions as given; strong verbal and written communication skills

§  Ability to compose business letters, take and transcribe minutes, and type a minimum of 45 wpm

§  Provide high quality customer service; listen, understand and ask questions

§  Produce high quality written product; high-level of accuracy

§  Excellent organizational, time management, and telephone skills

§  Demonstrated ability as a self-starter and problem-solver; demonstrate sound judgment

§  Ability to work with minimal supervision and to work independently

Contact with Others:          

Frequent contact with outside customers and internal call center to obtain vehicle donation information including location and type as well as internal employees regarding customer information and acts as backup support for sales team.

Supervision Received:                   

Limited supervision received; employee generally proceeds on their own initiative in compliance of company’s policy.

Working Conditions:

Pressure of Work:           

Fast paced or intermittent depending on the number of donations coming in however a there is always a steady workload with customers and employees needing frequent in-person assistance.

Other Working Conditions:       

§  Lift and carry up to 50lbs.

§  Balancing, walking for 15 minutes at a time; can be on uneven ground

§  Bending/stooping at waist

§  Reaching overhead and forward

§  Sitting up to eight (8) hours on a chair

§  Twisting knees, waist and back

§  Pulling and pushing, hands and knees, crouching and squatting

§  Leg/foot use, including use of foot controls

§  Long periods of keyboard work or other repetitive hand motions

§  Legible handwriting for notes, charts, etc.

§  Rapid mental, hand and eye coordination

§  Exposure to dust, fumes, vibrations, humidity, sun, chemicals, cold and/or heat

§  Potential exposure to hazardous materials

§  Work indoors in noisy environment

§  Standard hygiene standards

§  Talking in person and by phone in a clear and audible speaking voice

§  Hearing in person and by phone a normal or whispering voice

§  Vision (computer monitor, correctable, depth perception, distinguish colors)

§  Full-Time position, with potential overtime as necessary
