    Responsible for providing support via invoice processing for the Real Estate, Services and Patrimonial Control US department as an accounts payable function. Provides support relating to invoices activities for payment relating vendors across various facilities and services managed by General Services/Facilities.

    MAIN RESPONSIBILITIES

    Complete invoice processing relating to invoices for Real Estate, Services and Patrimonial Control US for various works sites/offices.

    Receive, upload and transfer of invoices to approvers including coffee and canteen, printer, lawncare, utilities, and rents/leases and Master Service Agreements (SAP 2WM or SAP SES).

    Assist with new vendor invitations/setup as well as maintain Active Vendor List

    Research invoice discrepancies and provide resolution with assistance of AP department in Mexico

    Review and Update Invoice Log weekly for invoice statuses of payment. Update weekly Invoice Report for current and aged invoices.

    Created a standard invoice and mail distribution procedures for General Service along with the invoice process from receipt-to-pay.

    Completed purchase requisitions for contract extension and new services in SAP.

    Liaison for vendors - Communicate with vendors regarding provided services and service contracts via meetings, email, and teleconference. Provide customer service to vendors regarding past due invoices, invoice issues and payment statuses.

    Relief for Front Desk Receptionist daily including answering and routing calls, greeting visitors and setting up conference rooms. Back up for facilities personnel in their absence relating to mail, packages, and other simple inquires.

    REQUIREMENTS

    Strong Data Entry Skills

    Attention to detail in relation to numbers, dates, and services

    Intermediate Excel skills

    Intermediate SAP skills

    Knowledge of office software such as: Extranet and iOffice

    Strong Communication skills: Must be comfortable with all levels of management via written and verbal communication.

    Strong Vendor relations and communication skills

    Experience in dispute resolution

    Impeccable multitasking skills
